Top 10 things to know about the Allocate eCommunity and Rio EPR integration

You might think that a community scheduling tool simply supports you to create team schedules. But did you know that it can also help you to provide continuity of care, support safer staffing and bring siloed data together?

The new integration between the Allocate eCommunity scheduling tool and the Rio Electronic Patient Record (EPR) system, supports safer care by ensuring staff always have access to real-time patient information, eliminates human error and reduces admin required by automatically updating both systems, and provides a safe method for sharing sensitive patient data.

1. What data is shared between Allocate eCommunity and the Rio EPR system?
Allocate eCommunity imports all patient demographic and referral data from the RiO EPR. Patient demographic includes the patient name, address, D.O.B, Gender, GP practice and NHS number. We only import data that is required and relevant to the patient referral and treatment, ensuring no unnecessary data is shared.

 2. Are updates automatic or manual? And how frequently are updates made?
The integration can be set to run automatically at any time interval. You also have the option to perform a manual sync between the two systems, after which any changes will be updated immediately.

 3. How does the integration manage changes in details of clinicians? E.g. Changes to schedules and availability.
Allocate eCommunity is also integrated with the Allocate Optima eRostering system (formerly known as HealthRoster). This means any changes made to staff availability, their skills or even their base/home postcode will be automatically reflected in the eCommunity system at the time intervals set by you. Alternatively, you can manually sync the information.

 4. Which system can you see the patient care plan in?
The patient details, demographic and referral data is all pulled through from the Rio PAS in to Allocate eCommunity. This can then be used to create the care plan. You can easily view all relevant patient information under the ‘patient tab’.

 5. Are any NHS Trusts using the integration?

6. Does Allocate eCommunity integrate with other EPR systems?
Yes, Allocate eCommunity is integrated with SystmOne and we are currently working on integrating with EMIS. In addition, we also have an integration with a bespoke Patient Admin System at Royal Wolverhampton NHS Trust.

7. What happens if my organisation uses more than one EPR system?
Currently, the solution is limited to a one-to-one integration e.g. one EPR per organisation. However, in the future we would like to explore the option of integrating with multiple EPR systems at one time, meaning a single organisation could integrate with multiple EPRs.

8. How long does implementation take?
On average, it takes 12 – 14 weeks to complete a full implementation project. We integrate with open APIs, meaning no extra time is needed in the implementation to build the PAS integration and you only need to make some configurations.

9. What other systems does Allocate eCommunity integrate with?
The eCommunity system integrates seamlessly with the Allocate Optima eRostering  system. Providing you a transparent view of real-time staff availability, including leave and sickness, staff duties for any specific day, as well as details of staff skills and rosters up to 28 days in advance.
